OLC work with University of Glasgow on Microsoft Student Portal Project

Summary
Over the past 2 years the University of Glasgow has been working in partnership with SBL’s academic division OLC to build a Microsoft Licencing Map for the Universities Student Portal Project.
The ultimate aim of the project was to provide Microsoft licencing for the Universities SharePoint site in a way that delivered best value for money and compliancy. The SharePoint project required access to student’s both on and off campus to enable them to view vital information such as:
Timetabling, Exam results and collaborative working.
By thoroughly understanding the business needs and requirements of the University, SBL were able to advise on the best pricing model for this project.


Customer challenges 
With 6,000 staff, 20,000 students, 4 colleges and 40 subject schools the University of Glasgow had a major challenge when trying to provide a facility for students and teachers to share information in a controlled environment. The University students were previously sharing information over social networks and the university wanted to provide a professional and robust area for information management.

Objectives 
The main objective for this project was to provide Microsoft Sharepoint for all 20,000 students and 6,000 staff achieving best price licensing and providing an excellent service to the users. 

The Solution
The chosen method of licensing SharePoint for the University was Microsoft’s Select Plus. The Select Plus agreement was chosen because it is a single, institution-wide agreement that supports both centralised and decentralised purchasing of licenses on an as-needed basis. Similar to the Campus and School Agreement, the Select Plus for Academic agreement has no specific end date and simplifies budgeting for short- and long-term IT needs.
Using OLC’s knowledge and experience of Microsoft agreements they were able to maximize the universities return on investment (ROI) by giving them a full prorated value of the coverage when they acquired Microsoft Software Assurance. Software Assurance gives the University the right to upgrade licensed software during the agreement term along with a suite of additional benefits.

OLC currently hold over 100 Campus agreements, including the largest Campus consortium agreement in Europe – The Scottish Colleges Consortium and supply to 39 of the 45 FE colleges in Scotland.
